Before
Prepare and verify attendance
- Arrive 15 minutes early and sign in at the school office.
- Check for official absences with the office. Do not ask the school office to print attendance lists.
- Bring a digital or printed student list and take attendance at every class.
- Safety protocol: if a student is not officially absent but is missing from the program, call the school office first and the parent second before starting. Failure to do so is a serious safety-policy breach.
During
Supervise every student
- Use a buddy or group system for elementary-school programs whenever appropriate.
- Remain on the premises of the program location or classroom.
- Supervise students at all times.
- In an emergency, injury, or accident, pause the program as needed and resolve the situation while maintaining supervision of all students.
After
Close the session safely
- Return rooms, spaces, and equipment to their original condition.
- Stay until the last student is picked up and call parents promptly when they are late.
- Send a report to the program director when needed, including concerns, challenges, positive behaviour, success stories, or testimonials.
- Report serious concerns or behavioural issues to the program director so the School, District, DWUL, and parents can be notified appropriately.
Emergencies and cancellations
Notify people quickly
- For a cancellation within 24 hours, call the school and all parents as soon as possible and follow up by email.
- For earlier cancellations, inform the school and all parents by email or phone in advance.
- Follow up with the School and DWUL to arrange a make-up session or refund.
