DWUL Program Listing Guide

Program listing requirements for accurate registration and school sharing.

From the Listing section of the Provider dashboard, choose Add and complete each required section before turning registration on.

Section 1

Program name and location

  • Use the recommended name format: [Location Name] (Day of week): [Program Name] - [Term/season]. Example: Baker Drive (Mon): Awesome Program - Winter 2024.
  • Include the term or season when several terms are being set up together.
  • Complete the location, address, and confirmed school-room information.
  • In Notes about Location, state whether registration is limited to an SD43 school and grade range or open to the public. This field is required to open registration.
Section 2

Photo and search tags

  • Upload an appropriate program photo. It becomes the main image on the program page.
  • Add applicable City, Activity, Category, and other tags so families can find the listing through search and filters.
  • Start typing a tag and select the correct value from the dropdown list.
Section 3

Dates, times, and sessions

  • Add every regular session date. An eight-session program should list eight regular dates.
  • Enter the regular start and end times and confirm the school dismissal time on the school website.
  • Use Special Dates when a session has a different time, including early-dismissal days.
  • Use No session for Pro-D days, school closures, and holidays.
  • The Number of sessions field is calculated from the dates entered.
Section 4

Capacity, cost, links, and age

  • Capacity is required before afterschool-program registration can be opened.
  • Cost is the total for all sessions and should include any GST charged by the Provider.
  • Include the DWUL platform and card-processing cost in the final listing price. The current guide uses 10% platform service plus 2.9% + 30¢ card processing.
  • External Link and Upload Flyer are for information listings that do not take registrations through DWUL.
  • Enter minimum and maximum ages when a program is restricted by age or grade. For a whole-school range, these fields may be left empty when appropriate.

Example from the guide: a $100 base program is entered as approximately $113 after the service fee is included.

Section 5

Write the program description like a digital flyer

  • Identify the school, public-access status, grade or age range, dates, times, special dates, and no-session dates.
  • Explain the program, benefits, activities, what participants should bring, and who to contact with program questions.
  • Include registration help: activate new Parent accounts by verification email and contact registration@dwul.io for activation issues.
  • For E-Transfer, use registration@dowhatuluv.ca or registration@dwul.io. Late registrations should select E-Transfer and confirm the prorated amount.
  • Include the cancellation process: submit a Cancel Request; pre-start requests are reviewed by DWUL; later requests require Provider approval.
  • Approved requests receive credit by default. Refunds are available on request, less non-refundable card-processing fees. E-Transfer refunds take approximately 10–14 days.
Section 6

Open registration and share the listing

  • Turn the registration toggle on and Save or Update the listing. Turn it off and save again when registration should close.
  • When registration is open, copy the program-page URL or use the Share button for schools and families.
  • For school emails, list each program name and hyperlink it directly to the applicable registration page.
  • To add an external clickable link in the description, highlight the text, use the Link control, add the destination, and choose Open in new window when appropriate.
